Privacy policy

ScoopHQ Field is the mobile app field technicians use to run their day for a pet-waste-removal company that runs on ScoopHQ. This policy explains what the app collects, why, and how long it is kept. It applies to the ScoopHQ Field app on iOS and Android. Last updated September 17, 2026.

Who is responsible

Your employer (the company whose office uses ScoopHQ) decides why your data is collected and is the data controller for it. ScoopHQ processes the data on the company's behalf and does not sell it, use it for advertising, or share it with other companies.

What the app collects

Location

  • When: only between the moment you tap Clock in and the moment you tap Clock out. Breaks pause it. Nothing is recorded outside a shift, even if the phone's permission is set to “Always” or “Allow all the time”.
  • What: GPS position, accuracy, speed and heading, roughly every 30 seconds or 50 meters while you move.
  • Why: so the office can see where the crew is on the live route map, count mileage for pay and reimbursement, and detect arrival at a stop so the client can be told you are there.
  • Background use: with “Always” / “Allow all the time”, tracking keeps working while the phone is locked between stops. Without it, positions update only while the app is open, and the office sees that instead.
  • Retention: individual location points are deleted after 90 days. Per-shift mileage totals stay with the shift record for payroll.

Photos

Photos you take in the app when completing a stop, requesting a reclean or leaving a note are stored in private cloud storage for your company and shown to the office and, for completed stops, to the client in their portal. The camera is only used when you tap a photo button. Photos are not scanned, tagged or used for anything else.

Account and device

  • Your name, role, mobile number and email as entered by your office, used to sign you in and label your work.
  • A random installation id, app version, operating system version, device model, the location permission you chose and a push notification token, so the office can reach this phone and diagnose problems.
  • Shift times, break times, stop status changes, skip reasons, add-ons and notes you enter. These are the company's work records.

What the app does not collect

No contacts, calendars, microphone audio, advertising identifiers, or browsing data. There are no third-party analytics or ad SDKs in the app.

Notifications

With your permission the app receives push notifications about your route: dispatches, changes, office notes for your stops, weather skips and clock-out reminders. Delivery uses Expo's push service, which sees the notification text and the device token. You can turn notifications off in your phone's settings at any time.

Where data is stored and who processes it

Data is stored on Supabase (database and photo storage, United States) and served through Vercel. Text messages to clients that you trigger (for example “On my way”) are sent by the company's messaging provider using the client's number, not yours. These providers act on ScoopHQ's instructions and are bound by their own data-processing agreements.

Your choices

  • Turn location off: change the app's location permission in your phone's settings. Your stops still work; the office sees “location off” instead of your position and mileage stops counting.
  • Consent: before your first clock-in the app shows a short summary of this tracking and records that you accepted it, with the date and version. If the summary changes, you are asked again.
  • Access and correction: your office can show or fix any record about you. Contact them first; contact us if they cannot help.
  • Delete your account: from Profile › Delete my account in the app, or from the account deletion page. Your login is removed and your location history deleted within 30 days. Shift and stop records that the company must keep for payroll or client billing are retained by the company under its own policy.

Children

ScoopHQ Field is a workplace tool for employees and contractors and is not directed at children under 16.

Changes

If this policy changes in a way that affects you, the app will show the new version before your next clock-in and this page will show the new date.
